1. What personal data we collect

When you use Verdis, we may collect the following categories of personal data:

• Account information: your name, email address, password (hashed — never stored in plain text), and county.
• Profile data: for coaches — your bio, qualifications, photos, availability and pricing. For golfers — your skill level, goals, and handicap if provided.
• Booking data: details of lessons booked, including date, time, coach, session type and notes.
• Payment data: none today — Verdis does not process payments, so we hold no card details or payout history. If online payment launches, card processing will be handled by a PCI-compliant provider and never stored by Verdis, and this policy will be updated first.
• Communications: messages sent between golfers and coaches via the Verdis messaging system.
• Notification subscriptions: if you turn on push notifications, we store the delivery address your browser issues for that device (and a rough device label) so we can send you booking and message alerts. Turning notifications off, or logging out on that device, removes it.
• Reviews: none today — reviews aren't live yet. If and when they launch, reviews you submit may be published on the platform publicly, and this policy will say so first.
• Technical data: IP address, browser type, device type, and pages visited, collected automatically when you use the platform.

2. How we use your personal data

We use your personal data for the following purposes, each based on a lawful legal basis under GDPR:

• To provide the service (contractual necessity): processing booking requests, enabling messaging between coaches and golfers, and showing you your bookings and their status.
• To improve the platform (legitimate interest): analysing usage patterns to fix bugs, improve features and optimise search results.
• To communicate with you (contractual necessity / consent): sending important service notifications, and — with your consent — promotional emails about new features or offers.
• To review coach profiles (contractual necessity / legitimate interest): our team reviews and approves every coach profile before it is listed publicly. Credentials (such as a PGA membership number) are recorded as the coach declares them — we do not yet independently verify them.
• To detect fraud and abuse (legitimate interest / legal obligation): monitoring unusual activity to protect users and the platform.
• To comply with legal obligations: retaining records as required by applicable tax and accounting law.

We will never use your data for automated decision-making that produces significant legal effects without human oversight.

3. Third-party services

Verdis uses a small number of trusted third-party services. Each has their own privacy policy and data processing agreements in place with us:

• Payments (planned): Verdis does not process payments today. If online payment launches, card transactions will be handled by a PCI-DSS-compliant payment provider, never stored by Verdis — this section will name that provider before it goes live.
• Google Fonts: We load fonts from Google's CDN, which may log your IP address. No personal data is shared with Google beyond this.
• Analytics — Plausible: We use Plausible Analytics, a privacy-first analytics tool hosted in the EU, to measure aggregate site usage (pages visited, referral source, country, and key actions such as sign-ups). Plausible sets no cookies and stores no personal data — visits are anonymised and aggregated, and cannot be traced back to you as an individual.

We do not sell, rent or share your personal data with any third party for marketing purposes. Ever.

4. Cookies and tracking

Verdis uses the following types of cookies:

• Strictly necessary cookies: Required for the platform to function — for example, to keep you logged in. These cannot be turned off.
• Functional cookies: Remember your preferences such as your last search filters or viewed coaches.
• Analytics cookies: none. Our analytics tool (Plausible) is cookie-free — it sets nothing on your device and collects only anonymised, aggregated usage data.

As configured today, Verdis sets only strictly-necessary storage (your login session) and functional preferences, and our analytics sets no cookies at all — no consent banner is required for any of these, so we don't show one. If we ever add non-essential cookies, we will ask for your consent before setting them and update this notice first.

5. Your rights under GDPR

Depending on where you live, you have rights over your personal data under applicable data-protection law (such as the UK GDPR and the EU GDPR). These are not just formalities — we take them seriously:

• Right of access: You can request a copy of all personal data we hold about you.
• Right to rectification: You can ask us to correct any inaccurate data we hold.
• Right to erasure ("right to be forgotten"): You can ask us to delete your account and all associated personal data, subject to legal retention requirements. Deletion isn't self-serve yet — email jordan@verdis.io from your account address and we will action it within 30 days, including removal from our backups.
• Right to restriction: You can ask us to pause processing of your data while a dispute is resolved.
• Right to portability: You can request your data in a structured, machine-readable format (JSON or CSV).
• Right to object: You can object to processing based on legitimate interests at any time.
• Right to withdraw consent: Where processing is based on consent (e.g. marketing emails), you can withdraw at any time via the unsubscribe link or your account settings.

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK's data-protection regulator, if you believe we have handled your data incorrectly — at ico.org.uk or on 0303 123 1113. See section 9 below for how to complain to us first.

6. Data retention

We keep your data for as long as your account is active, plus the following periods after deletion:

• Booking records: retained for up to 6 years, in line with the limitation period for contract claims in Northern Ireland (Limitation (Northern Ireland) Order 1989). There is no payment data today, as Verdis takes no payments.
• Messages: Deleted within 90 days of account deletion
• Reviews: May be retained in anonymised form after account deletion
• Technical/server logs: Deleted after 90 days

7. Children's privacy

Verdis accounts are for adults (18+). We don't offer child logins: lessons for under-18s are arranged and managed through a parent or guardian's account, so a child never messages a coach directly and there are no unmonitored coach-to-child conversations. If you believe a child has created an account or provided us data, contact us at jordan@verdis.io and we'll remove it promptly.

Any safeguarding concern can be reported from the conversation (the Report button) or by emailing us — we review safeguarding reports quickly.

9. Data protection complaints

If you're unhappy with how we've handled your personal data, complain to us first — we take it seriously and it's usually the fastest route:

• How: email jordan@verdis.io with "Data protection complaint" in the subject, or use the contact form and select "Privacy or data".
• What happens: we acknowledge your complaint within 30 days, investigate it, and tell you the outcome.
• If you're still unhappy — or at any time — you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. You don't need our permission, and complaining to us first is not a legal requirement.

1. Using Verdis

Verdis is operated by TEEUP GOLF & LEISURE LTD, trading as Verdis — a company registered in Northern Ireland, company no. NI741645, registered office 192a Upper Malone Road, Belfast BT17 9JZ ("we", "us", "our"). By accessing or using Verdis, you agree to these Terms & Conditions. If you do not agree, please do not use the platform.

Verdis is a marketplace that connects golfers ("students") with golf coaches ("coaches"). We are not a golf coaching service ourselves — we provide the technology platform that facilitates the connection, and the lesson contract is between you and your coach.

• You must be 18 or over to hold a Verdis account. Lessons for under-18s are arranged and managed through a parent or guardian's account — juniors don't create their own logins or message coaches directly.
• You must provide accurate information when registering.
• You are responsible for maintaining the security of your account and password.
• You may not use Verdis for any unlawful purpose or in violation of these terms.

2. Your account

You may register as a golfer, a coach, or both. Each account type has different features and responsibilities as described below.

• You may only have one account per person. Creating multiple accounts to manipulate reviews or search rankings is prohibited.
• Verdis reserves the right to suspend or terminate any account that violates these terms, at our sole discretion, with or without notice.
• You can request deletion of your account at any time — deletion isn't self-serve yet, so email jordan@verdis.io from your account address and we'll action it within 30 days, including removal from our backups. Data retention after deletion is governed by our Privacy Policy.

3. Bookings

Booking on Verdis works by request and confirmation. When a golfer requests a time and the coach confirms it, a binding agreement is formed directly between the golfer and the coach. Verdis is not a party to that agreement and takes no payment for it.

• You request a time from the coach's diary and add a note about what you want to focus on. The coach confirms — usually the same day. The slot is held while they decide.
• You'll see the request, and the coach's confirmation, in your Verdis account and message thread.
• Please arrive on time. If you can't make it, cancel and message your coach as early as you can — it's their working day you're changing.
• Any changes to lesson details (time, location, format) are agreed between golfer and coach via Verdis messages.

4. Payments

Verdis does not currently process payments. You pay your coach directly, and the price you see is the price you pay.

• Coaches set their own prices, shown on their profile in the currency stated there. That price is what you pay — Verdis adds no service fee on top.
• You pay the coach directly, once they've confirmed — at the lesson, using whatever method they accept (for example cash, bank transfer or card).
• Because no money passes through Verdis, there is no Verdis payout, and no card details are collected by us.
• Roadmap: online payment is planned. If it launches, a commission may apply to bookings Verdis sources for a coach — never to a coach's own clients — and any rates will be shown in writing before they take effect. These terms will be updated before any such change.

5. Cancellations & refunds

Because no payment is taken through Verdis, there is nothing for Verdis to refund — cancellation is about respecting your coach's time.

• If you need to cancel: cancel the booking from your account and message your coach, giving as much notice as you can.
• If your coach cancels: you'll see it in your bookings and can rearrange or request another time. As nothing was paid up front, there's nothing to refund.
• No-shows: please don't — it's a wasted slot for your coach (or a coach who didn't turn up for you). Repeated no-shows may lead to an account review.
• Anything to do with money for a lesson is between you and your coach, since you pay them directly.

When online payment launches, a clear cancellation and refund policy for prepaid bookings will be published here first.

6. Coach responsibilities

By joining Verdis as a coach, you agree to the following:

• You will accurately represent your qualifications, experience and specialities on your profile.
• You will honour all bookings confirmed through Verdis unless a genuine emergency prevents you.
• You will maintain appropriate insurance cover for golf coaching activities.
• You will conduct lessons in a safe, professional and respectful manner.
• You are responsible for your own tax obligations on income earned. Your booking history is visible in your Verdis account; because golfers pay you directly, your own records remain the record of what you were paid.

7. Golfer responsibilities

By booking through Verdis as a golfer, you agree to:

• Arrive on time for your lesson and bring any equipment noted in your booking.
• Treat your coach and their venue with respect.
• If and when reviews launch, leave honest, accurate ones. Fake or malicious reviews are prohibited.

8. Limitation of liability

Verdis is a technology platform. We are not responsible for the quality, safety or outcome of any golf lesson delivered by a coach listed on our platform.

• To the extent permitted by law, Verdis's total liability to you for any claim shall not exceed the total fees (if any) you have paid to Verdis in the 3 months preceding the claim.
• Verdis is not liable for any indirect, consequential or special damages.
• We do not guarantee that the platform will be available 100% of the time, though we aim for high availability.

Nothing in these terms limits liability for death, personal injury, or fraud caused by our negligence.

9. Disputes

If a dispute arises between a golfer and a coach, we encourage you to resolve it directly via Verdis messages. If that fails:

• Either party may contact us at jordan@verdis.io and we'll do what we reasonably can to help. Because no money passes through Verdis today, anything paid for a lesson is between you and your coach — there is nothing for Verdis to refund.
• These terms are governed by the law of Northern Ireland, and the courts of Northern Ireland have jurisdiction over any dispute arising from them. If you are a consumer living elsewhere in the UK or in the EU, this doesn't take away protections or rights to bring proceedings that your local law gives you.

10. Changes to these terms

We may update these Terms & Conditions from time to time. When we make significant changes:

• We will notify registered users by email at least 14 days before the changes take effect.
• The updated version will be available on this page with the revised effective date.
• Continuing to use Verdis after changes take effect constitutes acceptance of the new terms.
